SURREY RUGBY U8’s MINIS FESTIVAL

Set out below are final details to distribute to age group coaches.

We very much forward to welcoming you at this year’s U8’s Surrey Festival at Old Reigatian RFC on Sunday 2nd April.

If due to unforeseen circumstances any of your age groups who have entered are unable to attend the festival, please contact me by email. This will provide us with the opportunity to reorganise programmes and the order of play to try to help the remaining clubs to have an enjoyable day.

In the event of a “no show” on the day of the festival, without any prior notification to the event organisers, your club could be disqualified from entering the following season’s festival at the applicable age group.

Car sharing for the event is essential.

As with prior years, we have arranged to use a number of private and public car parks in close vicinity to our grounds. Each club has been allocated a designated car park, please ensure you use the correct car park to avoid refused entry and further traffic congestion.

Please see the attached map showing the various car parks and directions to the grounds.

There is no vehicle access along Park Lane to the Festival. Provision has been made so that you can drop off heavy Tent’s / Gazebo’s at the top of Park Lane (between 8:45 – 9:15am) and then park your car in the appropriate car park. If anyone requires Disabled Access, please email me to make the necessary arrangements.

In order to assist in the safe, smooth running and, ultimately, enjoyment of the festival, please ensure that your supporters and players adhere to the festival codes of conduct.

Whilst we all enthusiastically support our teams, this must not be allowed to spill over into any verbal abuse of players and match officials. It is the responsibility of us all to ensure that any inappropriate behaviour is immediately challenged. Surrey Rugby and the RFU takes this matter extremely seriously and the on-site Surrey Festival Discipline Officer will be reporting any incidents of unacceptable abuse, or offensive language, by players, coaches, spectators or others, directly to the Surrey Discipline Committee. Please help us to ensure that this festival atmosphere is one of encouragement, true sporting behaviour, and most of all fun.
A few administrative reminders:

• Directions to the ground are attached.
• No dogs are allowed on any of our grounds.
• Registration is between 8.45 and 9.15 CONTROLLERS TENT in front of Clubhouse
• The first games will start at 10:00 sharp.
• The Caterers, Balsamic Fig, will have plenty of hot food / refreshment options on offer throughout the day.
• We aim to have all proceedings completed by 14:00.
• Ensure that your first aid volunteers are in attendance on the day.
• All players must be registered with the RFU with numbers supplied on the online registration system
• Referee Briefing 9.30 Next to Control Tent. Every squad entered is to provide a suitably experienced, qualified referee If in doubt, then ‘safety first’.
• Please use your common sense when locating your tents, i.e., do not locate them too close to the pitch. Marshalls will be on hand to advise you!
• No BBQ’s.
